Participation
Registration takes place via the website of the pavilion organizer: Water Alliance. Requests for participation will be processed in order of receipt and according to available floor space. Once registered via the Water Alliance website, the participant is obliged to participate.
Allocation of booth space by Water Alliance is binding. Pavilion layout will be determined by Water Alliance. Participant preferences will be taken into account whenever possible. Separate banners, flags and posters are not allowed on the pavilion.
Cost
Participation fees are set by Water Alliance and may vary from event to event. The participation fee does not include VAT.
The participation fee for the Hollland Innovation Park includes the following:
-Registration fee, as well as a standard package (e.g. a poster spot, or a booth space with chairs, table, or brochure display and possibility to place a demo) depending on the available space and pavilion design.
– Coffee/tea or drinks during networking events are included. If included
Not included:
-Any other costs incurred that are not included in the package will be charged directly to the participant. These include design and printing costs, additional furniture, LCD screens, etc. These extras can be ordered separately after registration. To ensure that the pavilion has a unified appearance, extras can only be ordered in consultation with the pavilion designer and/or Water Alliance.
-Travel, lodging and lunch are not included in the participation fee. Unless specifically stated.
Photo and film recordings during Aquatech Amsterdam.
For marketing purposes Water Alliance can make photographs and/or film recordings of the pavilion and the people present there. When participants object to this, they should explicitly indicate this to Water Alliance. If they do not, it is assumed that the participant gives Water Alliance permission to publish the photos and films and indemnifies them against any claims in this respect.
Logistics
Shipping of demo equipment or other promotional materials can be provided through a designated freight carrier. Transportation costs will be charged directly to the participant by the freight carrier.
Water Alliance recommends using either the collective carrier or another official carrier.
Payment
The participant owes the participation fee stated on the confirmation of registration. All amounts due are exclusive of VAT. The participation fee will be invoiced in one instalment prior to the event and invoiced in principle two months before the start of the event. Participants are required to pay the invoice within 21 days of receipt. If the invoice is not paid on time, Water Alliance may refuse participation in the pavilion. Water Alliance has the right to set off payments against outstanding debts of a participant to Water Alliance.
Stand Crew
Participation in the Netherlands Pavilion is for 2 persons per company. The participating company will actively participate in activities organized for all participants of the Netherlands Pavilion such as visiting delegations, networking receptions, etc.
Cancellation by participant
Once registered, the payment obligation remains in case of cancellation by the participant. This obligation also remains for costs incurred by Water Alliance with contracted partners on behalf of the participant.
Cancellation by organizer
Water Alliance reserves the right to cancel the pavilion. The participant is not entitled to compensation. In case of cancellation by Water Alliance, Water Alliance is not liable for any damage or loss suffered by the participant. In case of cancellation by Water Alliance, the participation fee will be refunded after deduction of any expenses incurred by Water Alliance. This includes costs incurred on behalf of the participants with contracted partners.
Force majeure
Water Alliance reserves the right to cancel joint participation if in their judgment there are valid reasons to do so, such as failure to reach the minimum number of participants or in case of deterioration Covid situation, disasters or other forms of force majeure.
Deadlines
The participant must meet all deadlines set by Water Alliance. If deadlines are missed, Water Alliance cannot accept responsibility for any financial consequences for the participant. If these consequences result in additional costs, these costs will be charged in full to the participant.
Legal Liability
Legal liability for injury, damage to third parties or damage to their property, personal injury, damage, loss or delay of any kind is the full responsibility of the participant.
Exclusion of Liability.
Water Alliance will conduct all activities to the best of its ability. This implies that, except in the case of an intentional act or gross negligence, any liability is excluded.
